DAILY TEAM MEETING PROTOCOL

(Strict Discipline Framework – KSV Internal Policy)

 

  1.         TEAM LEAD RESPONSIBILITY (Primary Accountability)

1.1   Mandatory Arrival Time

  •   The Team Lead must be present at the meeting location by 9:55 AM sharp.
  •       The Team Lead must not arrive at 10:00 AM.
  •       9:55 AM is preparation time, not arrival flexibility.

Discipline begins with the Lead. 

1.2   Pre-Meeting Preparation

Before 10:00 AM, the Team Lead must:

  •   Keep the previous day task list ready
  •       Review pending items in advance
  •       Prepare today’s task allocation clearly
  •       Be ready to address difficulties

The Team Lead must be fully prepared before the team arrives. 

  1.   TEAM MEMBERS RESPONSIBILITY

2.1   Time Discipline – Non-Negotiable

  •       All team members must reach the meeting place before 10:00 AM.
  •       The meeting will begin exactly at 10:00 AM.

 

  •       Late attendance without prior approval is unacceptable.
  •       Repeated delay will be recorded.

Time discipline reflects work discipline. 

  1.   STRICT MEETING FLOW STRUCTURE

The meeting will strictly follow this order without deviation. 

Step 1: Previous Day Task Review

  •       Each team member must clearly report:

○ Task assigned yesterday

○ Status (Completed / Pending)

○ Output delivered

  •       Updates must be clear and measurable.
  •       Vague responses such as “Almost done” or “Trying” are not acceptable. 

Step 2: Pending Task Accountability

If any task is incomplete:

  •       The team member must clearly explain:

○   Exact reason for delay

  •       The Team Lead will evaluate:

○   Whether the reason is valid

○ Whether proper planning was done

○ Whether support was requested on time

 

Repeated delays will not be tolerated.

Accountability is compulsory. 

Step 3: Difficulty Identification

  •       The Team Lead must ask:

○ “Was there any difficulty?”

  •       Team members must report issues immediately.
  •       Problems must not be hidden or silently carried forward.
  •       Genuine difficulties will be supported.
  •       Lack of communication will be treated as negligence.

 

 

Step 4: New Team Member Communication Protocol (If Applicable)

If a new team member is present:

The Team Lead must clearly explain:

  •       How Google Chat is used for updates
  •       How task confirmations are communicated
  •       Reporting structure and escalation method

 

The new member must understand communication discipline from Day 1.

“I didn’t know” will not be accepted later.

 

Step 5: Today’s Task Assignment

  •       The Team Lead will assign:

○   Individual responsibilities

○ Clear expected outcomes

  •       Each team member must confirm:

○  Understanding of the task

  •       No task should be assigned vaguely.
  •       No ambiguity should remain when the meeting ends.

Clarity prevents excuses.

 

Step 6: Clarity Confirmation

Before closing:

  •       The Team Lead must ask:

○ “Any doubts? 

○ “Any support required?”

  •       All clarifications must be completed immediately.

 After meeting closure, confusion is not acceptable. 

  1.   MEETING CONDUCT RULES

During the meeting:

  •       Maintain silence and focus.
  •       No disturbance to other teams.
  •       No side conversations.
  •       No unnecessary mobile usage.
  •       Maintain professional tone.

 

Meeting time is productive time.

 

  1.   SAME-DAY COMPLETION POLICY
  •       All tasks assigned must be completed on the same day.
  •       Carry forward is strictly discouraged.
  •       Tasks cannot move to the next day without:

○ Valid reason

○ Prior communication

○ Team Lead approval 

Daily completion culture is mandatory.

 

 

 

  1.   ZERO TOLERANCE PRINCIPLE

The following will be formally noted if repeated:

  •       Late arrival
  •       Poor reporting
  •       Task delay without valid reason
  •       Casual approach to deadlines
  •       Lack of ownership

Discipline violations will be addressed formally. 

  1.   MEETING CLOSURE

Before closing the meeting:

  •       Confirm:

○ Everyone knows their assigned task

○ No confusion remains

  •       Meeting ends formally.
  •       Team members must immediately proceed to work.

No delay.

 No deviation.

 No compromise on discipline
