Step 0: Weekly Vacancy Planning (Internal – Mandatory)

Timeline

  • Every Friday 

Action

  • Interview coordinator must check with the CEO (Sir) and confirm:

○ Which roles are open for the coming week

○ Number of vacancies (if applicable)

○ Interview readines 

Mandatory Requirement

  • The coordinator must be an admin in:

○ Kanavu School WhatsApp Group

○ Village Group

○ Village-based / Local Job Groups

This ensures smooth and controlled job broadcasting. 

Step 1: Job Vacancy Content Preparation

After receiving confirmation from Sir:

Prepare the Job Broadcast Write-up

The write-up must clearly include:

  •   Title (Example):

 Nermugath Thervu @ Kanavu Startup Village

  •   Job role / designation(s)
  •       Basic required skills
  •       Interview date
  •       Interview time (Monday – 10:00 AM) If Monday is a holiday reschedule on Tuesday
  •       Interview venue / location
  •       Contact number for queries

Rule

  •       The content must be clear, short, and professional
  •       No missing information 

Step 2: Job Vacancy Broadcast

Broadcast Schedule (Fixed)

  •       Saturday – 7:00 AM
  •       Sunday – 5:00 PM

 

Where to Broadcast

  •   Kanavu School WhatsApp Group
  •     Village Group
  •     Village-based / local employment groups

Frequency

  •       Broadcast every weekend without fail

Step 3: Response Handling After Broadcast

Mandatory Actions

  •       Properly respond to all incoming calls and WhatsApp messages
  •       Clearly explain:

 ○ Job role details

○ Interview date and time

○ Venue / location

○ Documents to bring (if any) 

Important Rule

  •       No call or message should be ignored

 

  •       Maintain a polite and professional tone at all time 

Step 4: Interview Day Preparation & Internal Readiness

Mandatory Reporting Time (Internal)

  • Interview conducting person must be present by 9:30 AM sharp

Venue & Material Preparation (Before 10:00 AM)

Ensure the following are ready:

  •       Interview venue finalized
  •       Chairs and tables arranged
  •       Sufficient A4 sheets
  •       Question papers printed
  •       Rough sheets ready

Everything must be prepared before candidates arrive

Step 5: Candidate Registration & Data Collection

Before starting the interview rounds, collect and note:

  •       Candidate full name
  •       Role applied for
  •       Mobile number
  •       Email ID
  •       Interview date

 

Ensure details are written clearly and accurately. 

Step 6: Round 1 – Written Test (Mandatory for All Candidates)

Important Rule

  •       All candidates must attend all three rounds on the interview day

Question Paper Distribution

  •       Distribute papers at 10:00 AM sharp

Instructions to Candidates (Must Be Announced)

  •       Write Name, Native Place, and Mobile Number on the paper
  •       Mobile phone usage is strictly prohibited
  •       No negative marking
  •       Total duration: 1 hour

Assessment Structure

Aptitude Test

  •       20 multiple-choice questions 

English Test

  •       15 multiple-choice questions

 

Paper Collection

  • At exactly 1 hour:

○ Collect question papers

○ Collect all rough sheets 

Step 7: Round 2 – English Writing Skill Test (Spot Topic)

Process

  •       Provide a spot essay topic immediately after Round 1

Time Limit

  •       15 minutes only

Post-Test Action

  •       Collect answer sheets immediately
  •       Correct the papers
  •       Place corrected sheets on the CEO’s table for review 

Step 8: Round 3 – Direct Interview

Interview Flow

  •       Start interviews after Round 2 evaluation
  •       Conduct in a proper, calm setting

 

Focus Areas

  •       Communication skill
  •       Attitude and mindset
  •       Role suitability 

Step 9: Early Suitability Identification (During Interview)

If it becomes clear during the test or interview that a candidate is not suitable:

  •       Do not reject or correct them harshly
  •       Do not make them feel discouraged
  •       Engage briefly with:

○ Light technical discussion, or

○ General conversation

  •       Politely conclude by saying:

 “We will get back to you.” 

This maintains:

  •       Professionalism
  •       Respect
  •       Positive impression of Kanavu Startup Village 

Step 10: Overall Evaluation

Evaluate each candidate based on:

  •       Performance across all three rounds
  •       Consistency
  •       Strengths and weaknesses
  •       Overall suitability for the role 

Step 11: Final Decision

Assign one status:

  •       Selected – Ready for onboarding
  •       Hold – Potential candidate, decision deferred
  •       Rejected – Not suitable for current requirements 

Step 12: Result Communication

  • Inform candidates about their status via:

○ Call, or

○ WhatsApp message

Step 13: Interview Record Update & Documentation (Mandatory)

Operations Sheet / Resume Database Entry

After interview completion:

  •       Enter all candidate details into the Operations Sheet
  •       Update:

○ Personal details

○ Resume information

○ Test scores / remarks

○ Final decision

  •       Future reference
  •       Hiring history
  •   Audit and tracking
