SOP – SOCIAL MEDIA
This SOP must be followed by every fresher and employee who joins the KSV SM Team..
The goal is simple: Understand the project, plan content, check properly, post correctly, report daily, and complete tasks without fail.
Basic Learning Before Handling Any Project
Before working on social media accounts, every team member must understand:
- What social media marketing is
- How Instagram, Facebook, LinkedIn, YouTube, GBP, and other platforms work
- Difference between posts, reels, stories, captions, hashtags, and insights
- Types of content: educational, promotional, engagement, awareness, trend-based
- Basic caption structure: hook, message, CTA
- Basic analytics: reach, views, likes, comments, shares, saves, impressions, watch time
New Project Process
When a new project is assigned, follow this process before creating or posting content.
Step 1: Understand the Business
Know:
- What the business does
- Products or services
- Target audience
- Location
- Website
- Social media pages
Step 2: Understand the Goal
Confirm whether the project focus is:
- Branding
- Engagement
- Leads
- Sales
- Awareness
- Website traffic
Step 3: Study Competitors
Check competitor pages and understand:
- Content style
- Posting pattern
- Design style
- Reel ideas
- Caption style
- Engagement
Step 4: Check Brand Details
Collect and verify:
- Logo
- Brand colors
- Tone of communication
- Contact details
- Website links
- Product or service details
Step 5: Confirm Platform Access
Check access for required platforms:
- Meta Business Suite
- YouTube
- Google Business Profile
- Twitter / X
- Pinterest, if needed
Step 6: Check Profile Setup
Review and update, after approval:
- Bio / About section
- Profile photo
- Contact details
- Website link
- CTA button
- Location
Existing Project Process
For an existing project, first understand what is already being followed.
Check:
- Previous posts and reels
- Caption style
- Design style
- Best-performing content
- Low-performing content
- Current project goal
- Existing bio and profile setup
- Platform access
- Previous reports and insights
Do not change the content style suddenly without lead approval.
Content Planning Process
Every project must have a clear content plan.
Maintain:
- Content calendar
- Posting dates
- Platform details
- Content topic
- Caption status
- Design/video status
- Approval status
- Posting status
- Published links
Every task must have clear ownership.
Before Posting Checklist
Before publishing any post, reel, story, or video, check the following:
Content Check
- Correct spelling
- Correct grammar
- Correct client name
- Correct product/service details
- Correct offer/date/time, if any
- Correct contact number and website link
Design / Video Check
- Correct logo
- Correct size and format
- Clear image or video quality
- Proper alignment
- Readable text
- Proper thumbnail or cover image
Caption Check
- Strong hook line
- Clear message
- Proper CTA
- Relevant hashtags
- Relevant keywords
- Correct tags and mentions
- Correct location, if needed
Video / Reel Check
- Audio clarity
- Subtitle accuracy
- Voice and subtitle sync
- No copyright issue
- Proper thumbnail
Only post after completing the full checklist.
Posting Process
While posting:
- Select the correct platform
- Add the correct caption
- Add hashtags and keywords
- Add tags, mentions, and location if required
- Add thumbnail or cover image
- Check links before publishing
- Preview once before posting
Do not post in a hurry.
After Posting Process
After publishing:
- Check whether the post is live correctly
- Copy the published links
- Update the link sheet
- Send the daily posting report
- Update the insights sheet when required

Weekly and Monthly Reporting
The social media team must prepare:
- Weekly insights report
- Monthly insights report
Reports should include:
- Reach
- Views
- Engagement
- Best-performing posts
- Low-performing posts
- Suggestions for improvement
Reports must be shared with the lead or client group as instructed.
Leave and Permission Rule
This is mandatory for every team member.
- Any leave or permission must be requested in advance.
- Leave can be taken only after lead approval.
- Simply informing is not enough.
- This applies to full-day leave, half-day leave, late login, early logout, emergency permission, and work-from-home requests.
Before taking leave, the employee must make sure their daily tasks are completed.
If the task cannot be completed by them, they must properly hand it over to a teammate after informing the lead.
Daily Task Completion Rule
Daily tasks must be completed at any cost.
If a person is on leave, the work should still be completed by:
- The person before taking leave, or
- The assigned teammate, or
- The team lead through proper task allocation
Client posting, reporting, approvals, and link updates should not stop because one person is absent.
Before leave or permission, handover must include:
- Project name
- Pending task
- Posting time
- Caption
- Design/video file
- Platform details
- Approval status
- Reporting details
Communication Rule
Team members must update the lead clearly about:
- Completed tasks
- Pending tasks
- Approval delays
- Design/video delays
- Posting issues
- Access issues
- Client changes
- Leave or permission requests
- Handover details
Avoid unclear updates like: “Post pending.”
Use clear updates like: “Project ABC Instagram reel is ready. Caption and design are completed. Waiting for approval. Planned posting time is 5 PM.”
Mistakes to Avoid
Do not:
- Post without checking
- Post without approval, if approval is required
- Use the wrong logo
- Post spelling mistakes
- Use wrong client details
- Miss CTA
- Use too many hashtags
- Forget thumbnail
- Forget link sheet update
- Forget daily report
- Take leave without approval
- Leave work pending without handover
- Copy competitor content blindly
