STUDIO TEAM SOP
This SOP is created to make the studio workflow simple, structured, and easy to follow. Every team member should clearly understand:
- How the studio works
- Their responsibilities
- The complete workflow from scripting to final handover
- Team discipline, quality standards, and execution process
The goal is:
- Better quality
- Faster execution
- Strong creativity
- Proper discipline
- Smooth teamwork
This SOP combines all important points from the attached documents.
- WORKING HOURS & OFFICE DISCIPLINE
Regular Working Time
- Studio timing: 9:30 AM to 6:00/6:30 PM
- Team members must be ready before shoot starts.
Extended Working Time
- If tasks are incomplete, the team must stay until completion.
- Work may continue till 8:00 PM – 9:00 PM if required.
Office Discipline: Office hours are for:
- Shoot execution
- Content production
- Project completion
Office hours are NOT for:
- Personal practice
- Experimental learning
- Random testing
Learning and experimenting can be done:
- Before 9:30 AM
- After 6:30 PM
- PROJECT UNDERSTANDING BEFORE SCRIPTING
Before writing any script:
- Collect the Ideation & Execution Document
- Understand:
- Client requirements
- Brand voice (How it should be)
- Target audience
- Content purpose
- Project expectations
Every team member working on the project must:
- Attend meetings
- Understand the project directly
- Clarify doubts
- Take ownership (Do not depend only on PM explanations).
- SCRIPT RESEARCH & PLANNING
Before scripting:
- Research current trends in all platforms
- Check audience preferences
- Study competitors and content styles
- Understand current updates related to the project
Scripts should:
- Match the production calendar
- Match weekly/monthly targets
- Avoid repetitive concepts
- Avoid repetitive storytelling
AI Usage Rule
- Do NOT fully depend on AI for scripting.
- First:
- Research manually
- Read articles
- Understand trends
- Create category flow
- AI can be used later only for support if needed.
- SCRIPT QUALITY STANDARDS
Every script must include:
- Strong hook
- Scene breakdown
- Dialogue flow
- Performance cues
- Execution clarity
Scripts should:
- Be creative
- Be unique
- Match current trends
- Include fresh ideas
- Include deep or lesser-known information
- Avoid generic content everyone already knows
- HOOK GUIDELINES
Every video MUST have a hook. The hook should be:
- Short
- Crispy
- Attention-grabbing
- Trend-based
- Creative
- Suitable for the project
The first few seconds should stop people from scrolling.
- SCRIPT TIMELINE & APPROVAL
Timeline
- Scripts must be completed within the assigned timeline.
- Preferably completed before the shoot schedule.
Important Rule: Task is considered completed only when:
- Script is submitted
- Approval is received (Only submitting is NOT completion).
Internal Sharing: While sharing scripts internally: Voice note explanation is mandatory
The explanation should include:
- Tone
- Flow
- Execution idea
- Acting expectation
Approval Rule
- Scripts must be reviewed internally
- Client approval is compulsory for insisted ones
Rule: No approval = No shoot
- Scripts should align with:
- Trending formats
- Audience interests
- Current content styles
- Camera angles and execution possibilities
This connects scripting with actual execution quality.
- SCRIPT SHARING & ARTIST PREPARATION
Script Sharing
- Scripts must be shared minimum 1 day before shoot
- Preferably 2 days before
Even during leave:
- Assigned scripts must be shared on time
- Only then leave approval will be considered
Actor Preparation: Actors must:
- Practice at home
- Understand:
- Character
- Dialogue
- Expression style
- Delivery method
Actors should come fully prepared. Office time should not be wasted for practicing scripts.
- SHOOT TIME DISCIPLINE
Expected Shoot Timing
- Single artist shoot → Maximum 30 minutes
- Multiple artist shoot → Maximum 45 minutes
The goal is:
- Fast execution
- Better preparation
- No unnecessary delays
- ACTING & PERFORMANCE STANDARDS
Every video should include:
- Clear pronunciation
- Proper word clarity
- Correct tone and pitch
- Proper voice modulation
- Natural facial expressions
- Different body language
- Engaging delivery
- Strong visual hook
Avoid:
- Same acting style
- Same tone
- Same expressions
- Repetitive performances
If quality is weak or repetitive:
- QC may reject the video
- Reshoot will be required
Studio Lead Responsibility
Abitha should guide:
- Pronunciation
- Facial expressions
- Performance quality
- Delivery corrections
- VIDEO DURATION STANDARDS
Standard Videos: Preferred duration: 22–30 seconds
Explanation Videos: May go: 40–50 seconds (Only if necessary).
- DAILY SHOOT TARGETS
Daily target: Total: 8 videos
- 2 videos – Umar
- 6 videos – Shakti
Exclusion: Product shoots are separate from this target.
- PRODUCT SHOOT GUIDELINES
Weekly Product Reference
- Product references must be collected weekly once.
- Team should study quality reference content.
Recreation Process
- Recreate useful product styles
- Adapt them for client projects
- Improve product presentation quality
- SHOOT PLANNING & EXECUTION – INDOOR & OUTDOOR
Morning Session: Outdoor/light-dependent shoots should be done in the morning.
Afternoon/Evening Session: Indoor or less light-dependent shoots should be done in the second half. This helps maintain:
- Better lighting quality
- Faster execution
- Better planning
Outdoor Shoot Planning Process
- Outdoor shoots must be planned in advance.
- Before confirming outdoor shoots:
- Fix shoot date
- Finalize location
- Prepare scripts
- Prepare reference videos/images
- Plan camera angles and execution style
- Research trending concepts related to the shoot
- Scripts and references must be approved:
- Internally
- By client
- Outdoor shoots should not be planned randomly.
- Proper preparation must happen before the shoot day.
This is important because outdoor shoots involve:
- Time
- Travel
- Lighting
- Coordination
- Client expectations
So planning must be proper before execution.
- CAMERA RESPONSIBILITIES
Camera Handling Team: The camera will be handled by:
- Umar
- Shakti
- Nallathambi
- Nitish
Main Camera Operators:
- Umar
- Shakti
Skill Development
- Umar should improve camera handling
- Shakti should improve mobile shooting
Both should become flexible in all formats.
- PRE-SHOOT PREPARATION
Before shoot:
- References must be reviewed properly by:
- Script writer
- Cameraman
- Artist
- Camera person must finalize:
- Location
- Timing
- Shot plan
Equipment should be ready:
- Camera
- Mic
- Lights
- Required accessories
Before shoot starts:
- Artist and cameraman should discuss:
- Performance
- Angles
- Shot style
- Execution flow
Everyone should clearly understand:
- Visual expectation
- Acting style
- Angles
- Mood
- Final output style
- RAW FOOTAGE QUALITY CHECK
After every shoot:
- Raw footage must be checked immediately
- Checked 2–3 times

Things to Check
- Audio clarity
- Expressions
- Camera focus
- Dialogue quality
- Style consistency
- Correct actions
- Mistakes or retake needs
Important Rule: Only approved footage should go to the editing/design team.
If mistakes exist: Retake immediately on the spot
- FILE HANDLING & HANDOVER
After every shoot:
- Files must be copied immediately to hard disk
- Files should be organized properly with:
- Date
- Publishing details
- Folder naming should be clear and organized.
Editing team should receive:
- Raw footage must be shared with the design/editing team immediately along with:
- Scripts
- References
- Voice-over files
- Instructions
- Task details
- Outdoor shoots must always include:
- Proper documentation
- Attached references
- Shoot-related task details
- After completion: Cameraman should raise updates/tasks in Google Chat
Add Important QC Coordination Point:
- The studio team must coordinate with the design team and check:
- Raw footage count
- Missing footage
- Required scenes
- Backup availability
- If anything is missing:
- Action should be taken immediately
- Missing shots must be generated/re-shot before footage gets deleted or lost.
This is a very important production management point and should definitely be included.
- CONTENT & CREATIVITY EXPECTATIONS
Every content should:
- Feel fresh
- Match audience psychology
- Be trend-aware
- Be visually attractive
- Be emotionally engaging
- Be creatively strong
Avoid:
- Repetitive concepts
- Repetitive storytelling
- Same content patterns
Creativity Responsibility: Creativity is everyone’s responsibility:
- Script writer
- Actor
- Cameraman
Everyone should contribute to improving content quality.
- CALENDAR DISCIPLINE & TARGETS
The studio team must strictly follow:
- Daily calendar
- Weekly calendar
- Monthly production schedule
Important Rules
- Complete targets on time
- Avoid backlog
- Avoid unnecessary postponements
- Complete scheduled shoots as planned
Priority Task Handling
- Voice-over related tasks must be given high priority.
- Voice-over tasks should be completed ASAP without delay.
- RESHOOT PREVENTION
- Proper scripting
- Proper preparation
- Strong execution
- Immediate QC checking
- LEAVE & HOLIDAY POLICY
Weekly Holiday System: Studio team follows rotational weekly holidays.
Important Condition
Holiday will be confirmed only after: Assigned tasks are completed
If work is pending: Team members must come and complete tasks.
Leave Rules
- Leave must be informed minimum 2 days earlier
- Last-minute leave is not encouraged
Continuous Leave Restriction: Two continuous leave days are not permitted for studio team members.
- All leave requests must first be approved by:
- Team Lead
- Then Manager
Main Team Member Restriction
- Two major/important team members should NOT take leave at the same time.
Emergency Leave: In emergencies:
- Task handover is compulsory
- Replacement arrangement should be made if required
- REPORTING & PERFORMANCE TRACKING
Daily Reporting: All team members must: Submit updates daily in Google Chat
Monthly Tracking
- Project-wise targets must be achieved properly
- Performance and execution will be monitored regularly
Hourly Tracker Updates
- Every studio member must update hourly trackers properly.
- Time spent in the studio should be updated without fail.
- Since many members work across multiple teams, tracker updates are mandatory for:
- Productivity review
- Time management
- Team coordination
- Work monitoring

- Review footage immediately
- Retake if needed
Step 9 – Send for Editing: Share only approved footage with editing/design team
